Department Administration/Management
Location Canonsburg, PA

RESPONSIBILITIES

 Provide administrative support for management as directed

 Answer telephones using a multi-line telephone system

 Greet walk in traffic to field office, including providing job related paperwork to  current employees and potential candidates

Maintain tidy appearance of  office

Filing as needed and/or as directed

Daily pick up, sorting and distribution of mail with knowledge of Fed Ex/UPS etc

Copy, fax, and/or scan various documents as needed

Compile internal management reports, documents on operations, safety procedures, select programs, and activities as needed

Responsible for the maintenance of supplies for the office equipment, and inventory where necessary

Involvement in accounts payable process including review of purchase orders for accuracy, research discrepancies, and coordination with accounting department

Assists as needed with hotel scheduling processes to including reservations, confirmations, changes, as well as updating internal spreadsheets of reservation details

Ensure that all invoices and charges related to hotel processes agrees with reservations and that all hotel charges or potential discrepancies are investigated and resolved prior to final payment

Become familiar with and understand the company’s policies and procedures

 

QUALIFICATIONS

 High School Diploma

 2-5 years experience in a role that required administrative and bookkeeping function

 Accurate data entry with strong attention to detail

 Able to analyze and resolve problems

Organized and detail oriented

 Self Starter

 Handle multiple projects and set priorities to work efficiently

 Ability to communicate effectively verbally and in writing with internal and external customers

 Computer Skills: Microsoft Office Suite with strong Microsoft Excel skills
